Administrative Assistant

Avalon Risk Management Insurance Agency LLC, an insurance broker specializing in transportation insurance, is looking for an energetic team member for our New York City office (Battery Park, Manhattan). This full-time non-exempt position will support our growing sales and service team and is a combination of customer service and clerical work. Daily tasks will include answering phones, scanning/ filing, data entry, and general customer communication.

 

The Administrative Assistant must provide reliable support to the sales and customer service teams. Responsibilities will include data entry into our sales database, general customer service, working on sales proposals and more. Additionally, you will perform customer service duties such as mailing policies, printing auto ID cards and insurance certificates and various correspondence. The assistant will also help with other property and casualty and cargo insurance programs and projects. All client communications are expected to be accurate, timely and professional.

Avalon is looking for someone with 1 -3 years general office and customer service experience. We prefer candidates with some college-level coursework, especially business classes. Excellent communication skills, including grammar and spelling strengths, must be demonstrated. Assistant Account Executive

Avalon Risk Management’s New York office is looking for a motivated team player who is ready to launch an exciting and lucrative sales career in the international trade community. We are looking for a candidate to help build on this success, and we offer a Best Places to Work culture that provides opportunity for growth.

 

Avalon is looking for candidates with 1-2 years’ experience in a business/office environment. Prior sales or insurance-related experience is preferred, but not required for the right candidate. Holding a current insurance license is a plus; otherwise Avalon will incur costs for you to obtain one. Candidates must possess excellent written and verbal communication skills. This position will require a solid work ethic along with strong organizational and follow-up skills.

An Assistant Account Executive will gain experience in the many facets of international insurance: building client relationships through account management and scheduling sales appointments from referrals, leads, and cross selling opportunities to develop professional selling skills. This role is also exposed to processing renewals, handling customer service, performing risk assessments, participating in industry events, and more. In time, the position can develop into a full outside sales role which can lead to Senior or VP positions based on size of book and/or Sales Management.

Some of the responsibilities of this role include but are not limited to:

  • Utilize and maintain sales database to monitor and track sales leads.
  • Track weekly sales goals and prepare sales call activity reports.
  • Cross-sell new product lines to existing accounts. Identify new business opportunities.
  • Support renewal business. Assist with renewal information as required.
  • Help finalize submissions and rate negotiation (as applicable), relating benefits to clients' needs.
  • Assist with proposal and presentation preparations for clients.
  • Provide service and support along with Account Managers.
  • Assist with travel plans related to appointments.
  • Assist with collection of premiums, monthly billing, account set-up, etc. as needed.
  • A Property & Casualty license is preferred. If you do not currently hold a Property & Casualty license, this position will require the individual to obtain and maintain the license within 120 days of the start date.

    Strong computer skills are also desired, especially Microsoft Outlook, Word, Excel, and Power Point. Experience with CRM systems, such as Salesforce.com, AMS 360, Applied’s EPIC, or Producer Plus would also be helpful. Candidates must be able to establish goals and consistently meet and exceed them. Strong interpersonal skills are a necessity. To be successful, the candidate will also need an entrepreneurial spirit, desire to persuade, and ability to bounce-back from rejection.

Customer Service Representative

Avalon Risk Management (“Avalon”) is a specialty insurance broker with nine offices in major port cities throughout the country. We focus on the unique and exciting world of risk management and insurance products for the international trade and logistics industry. We are growing our team and looking for an upbeat, highly motivated self-starter to work in our Elk Grove Village, Illinois office. This is a full-time exempt customer service position that will expose you to our clients, the importing/exporting industry, and the various international and domestic programs we manage.

 

As a Customer Service Representative, candidates will support our Account Managers and assist in servicing our existing clients. The Customer Service Representative will be exposed to all lines of business and will assist with marketing submissions, giving shipment-specific insurance quotations, preparing proposals, mailing policy & support packets, answering policy questions, updating account changes, assist with premium collections, fielding phone calls, and more. Various clerical duties such as filing, faxing, and scanning will be part of daily responsibilities along with customer service. Candidates will provide support to our sales staff, and in time they will also get the opportunity to cross-sell and further develop the client relationship. The Customer Service Representative will help maintain client and policy information in our Applied EPIC system and other Avalon systems.

We are looking for candidates with at least 2 or more years of customer service experience working in an office environment (not retail). Experience with Applied EPIC preferably in the Commercial Lines insurance industry is helpful. All candidates must demonstrate excellent written and verbal communication skills. To succeed in this position, you must possess strong organizational skills, care about the details, be comfortable working with a team and independently, and have excellent computer skills (MS Word, MS Excel, PowerPoint and be internet savvy). Candidates will either need to have a valid Illinois Property and Casualty license or be willing and able to obtain one within 120 days of starting (Avalon bears the expenses related to the licensing process). P&C Underwriter

Avalon Risk Management (“Avalon”) is a specialty insurance broker with nine offices in major port cities throughout the country. We focus on the unique and exciting world of risk management and insurance products for the international trade and logistics industry. Avalon is a privately-held company owned by our founding management team. We celebrated our 20th Anniversary in 2018 and had our best year ever. We are growing our team and looking for a new team member to review, rate, and underwrite our property and casualty program (“P&C”). The P&C Underwriter position will work from our headquarters in Elk Grove Village, Illinois.

 

To be successful in this position, you need to have excellent written and verbal communication skills and strong interpersonal skills. We are looking for a team player who has a strong eye for detail, excellent analytical abilities, and is highly organized. Candidate must be able to appropriately handle a high volume of P&C submissions, endorsements, and audits with proper prioritization and follow up. We are looking for candidates with extensive commercial insurance coursework as part of an undergraduate degree or 1 to 2 years’ experience in a similar commercial P&C role. Excellent follow up skills are required, and you must be able to meet deadlines. Strong computer skills are required especially with MS Outlook, Word and Excel. Experience with Applied Epic and commercial rating systems is helpful.

The P&C Underwriter will be required to work within specified program parameters while assisting sales and service team members with customer needs. The underwriting role includes data entry, rating, submission review, and application of designated underwriting authority to help grow and retain our book of business. Essential functions of this role include but are not limited to:

  • Review submissions received to make sure they fit program parameters.
  • Enter coverage information into company systems for rating and quoting.
  • Complete underwriting procedures and provide pricing and quotes to our regional offices.
  • Approve and bind coverage within underwriting authority. Authorize and issue policies.
  • Review and process audit information received and enter in appropriate system(s).
  • Review, process and enter endorsements for coverage as needed.
  • Review and process policy renewals under program guidelines.
  • Assist with maintenance of client files.
  • Other projects and tasks as assigned by manager.

Surety Representative

Avalon Risk Management, an international trade-related insurance broker, is looking for a highly motivated self-starter to be a Surety Representative in our Centralized Bond Unit (CBU). This will be a full-time position (40 hours per week) and reports directly to our CBU Supervisor. The position will work from our headquarters in Elk Grove Village, Illinois during our normal business hours of 8:30 a.m. to 5:00 p.m.

 

The Surety Representative will focus on customer service related to our surety product and tasks include client communication, interaction with regional team members, bond approvals, various bond filings, rollovers, and cancellations. Accuracy on all filings is crucial. Other projects will be assigned based on candidate’s aptitude and attitude. The Surety Representative needs to move from task to task with ease while staying within a 24-48 hour time frame.We are looking for a team player with 1-2 years customer service experience. This position requires strong computer, interpersonal, communication and organization skills. Success in this position will require proficient use of MS Excel, Word and Outlook. Attention to detail for accurate and concise filings with Customs is required.

The essential functions of this role include but are not limited to:

  • Process client communications, bond approvals, various bond filings, rollovers, cancellations, filings for specific programs, and underwriting.
  • Enter applications and other data into Avalon’s systems.
  • Process file terminations and riders.
  • Process broker of record letters.
  • Assist with other projects that may include sales-related tasks such as bond rollout of programs
  • Communicating with Customs and the Revenue Division as required for each client's needs.
  • Handle and/or assist with bond insufficiency notifications and follow ups within established timeframes.
  • Assist Bond Underwriting with various tasks as needed, including but not limited to bond renewals, assistance with management of collateral and/or collateral application to open claims, management of workflow actions/diary tasks, and /or assist with preparation of audits.
  • General clerical duties associated with each department and your duties: filing, scanning, faxing, sending follow ups, running/saving reports and other administrative tasks.
  • Handle any other bond-related tasks or special projects as assigned or necessary.

Surety Underwriter

Avalon Risk Management (“Avalon”) is a specialty insurance broker with nine offices in major port cities throughout the country. We focus on the unique and exciting world of risk management and insurance products for the international trade and logistics industry. We are looking for an energetic Surety Underwriter interested in joining our Bond Underwriting department on a full-time basis. The position will work from our headquarters in Elk Grove Village, Illinois.

 

Our ideal candidate will have 1-2 years’ general office experience in a role that involved some accounting or financial-based analytical responsibilities and will preferably possess a bachelor’s degree in the business field. The Surety Underwriter will have good verbal and written communication skills and excellent attention to detail. The candidate must also be very organized and consistently meet deadlines.

This position requires experience or coursework related to finance and/or accounting for financial statement analysis and must have strong computer skills, especially with MS Word and Excel. The Surety Underwriter will communicate with our offices, clients, insurance markets, and government agencies to gather and assess information for surety related coverage and bond renewals. Other responsibilities include:

  • Assisting with underwriting bond risks within assigned parameters
  • Drafting underwriting approval requests to reinsurers
  • Assisting agents and customers with various bond-related questions and regulations
  • Handling and/or assisting with bond insufficiency notifications
  • Preparing various management reports to manage surety program utilizing various software tools including Word, Excel, Access, etc. and our proprietary Merlin software
  • Work on special projects for reinsurance, collateral reviews, audits, etc.
  • May require an occasional weekend day be substituted for a weekday.
