Administrative Assistant

Avalon Risk Management Insurance Agency LLC, an insurance broker specializing in transportation insurance, is looking for an energetic team member for our New York City office (Battery Park, Manhattan). This full-time non-exempt position will support our growing sales and service team and is a combination of customer service and clerical work. Daily tasks will include answering phones, scanning/ filing, data entry, and general customer communication.

 

The Administrative Assistant must provide reliable support to the sales and customer service teams. Responsibilities will include data entry into our sales database, general customer service, working on sales proposals and more. Additionally, you will perform customer service duties such as mailing policies, printing auto ID cards and insurance certificates and various correspondence. The assistant will also help with other property and casualty and cargo insurance programs and projects. All client communications are expected to be accurate, timely and professional.

Avalon is looking for someone with 1 -3 years general office and customer service experience. We prefer candidates with some college-level coursework, especially business classes. Excellent communication skills, including grammar and spelling strengths, must be demonstrated. The position requires intermediate to advanced Microsoft Outlook, Word and Excel skills, and you must be able to type 60 wpm. We need someone with excellent organizational skills, follow up abilities and a good eye for detail. Reliability, accuracy, flexibility, and the ability to multi-task will help you go far in this fast-paced office.

Customer Service Representative

We specialize in international insurance and we are looking for a full time highly motivated self-starter with an entrepreneurial spirit. You must have at least 2 years’ customer service experience in an office environment to provide support to our Account Managers and Account Executive team.   • Support our Account Managers and assist in servicing our existing clients.

Customer Service Representative

Avalon Risk Management is a specialty national insurance broker that focuses on products and services designed for the exciting international trade, transportation and logistics industry. We are looking for an upbeat, highly motivated self-starter to work in our Salem, Massachusetts regional office. This is a full-time exempt position. Successful candidates will need to complete a background check and pre-employment drug screening.

We are looking for candidates with a customer service background of 1-3 years in an office environment (preferably within the commercial insurance and/or logistics industry). Candidates must be capable of multi-tasking, be detail-oriented, and reliable. To succeed in this position, you must possess strong organizational and follow up skills, the ability to work with a team or independently, and have excellent computer skills (MS Word, MS Excel, and PowerPoint). We would prefer a candidate with Agency Management System experience (like AMS360 or Applied Epic) but will train as necessary. Excellent written and oral communication skills are a must. We prefer candidates with a valid Massachusetts property and casualty license but will assist the right candidate to obtain the license.

The Customer Service Representative will provide customer service, sales, and administrative support to the service and sales team. This position requires contact with clients, prospects, insurance markets, business partners, and all levels of the Avalon organization. The primary focus of this role will be to provide service and support as outlined below:

  • Mastering all lines of business to provide excellent customer service to all clients
  • Interacting with clients as the liaison for Account Executives or to facilitate other job responsibilities
  • Communicate with appropriate markets and business partners to assist sales and service efforts
  • Basic working knowledge of Applied EPIC would be ideal along with excellent Outlook, Word and Excel skills.
  • Managing service issues for clients, including product questions, billing questions, collection of premiums, new account set up, and account changes
  • Managing the client files and new policies, product lines, endorsements, and account changes
  • Prepare, process, and/or track reports and collect monthly production for clients and office
  • Assisting sales team with needs related to prospecting, cross-selling, binding, and renewing policies
  • Assisting with cargo quotes and bond approvals
  • Submitting quotes and proposals to clients and conveying approvals regarding limits and quotations (subject to documented levels of authority) within defined time frames.
  • Monitoring and facilitating claims for clients
  • Answering phones and assisting clients with service needs
  • Performing additional projects as assigned by management
